In Dynamics 365 Sales, orders can be created from quotes to reflect a customer's intent to purchase products or services. However, there may be situations where customers no longer require an order or the company delivers the order. To reflect these circumstances, the system provides different methods to close the order.
The two methods of closing an order that are available out of the box are:
A. Cancel: This method is used when the customer decides not to proceed with the order or the order cannot be fulfilled. When an order is canceled, the system updates the order status to "Canceled" and releases any reserved quantities back into inventory. The canceled order can be reopened if required, and the original quote can also be used to create a new order.
D. Fulfill: This method is used when the order has been delivered to the customer. When an order is fulfilled, the system updates the order status to "Fulfilled" and reduces the inventory quantities based on the products or services delivered. The fulfilled order cannot be reopened, but the order details can be viewed for historical purposes.
B. Activate and C. Accept are not methods of closing an order. The Activate button is used to activate a draft order, and the Accept button is used to accept a quote and create an order.
